Instructions for persons who are responsible for courses

Adopted by the university’s Academic Affairs Committee 7 June 2018 (effective from 1 August 2018).

To be responsible for a course means to have overall academic responsibility. In courses with more than one course-teacher, the person responsible for the course should also function as coordinator.

The person responsible for the course has an obligation to be familiar with the contents of the course description and is also responsible for the course being completed in accordance with the description.

Persons responsible for courses must familiarise themselves with regulations concerning examinations in the Act relating to Universities and University Colleges, Examination regulations for the University of Agder and the sections of the quality system that deal with course evaluations.

Persons responsible for courses have the following responsibilities and assignments:

1. Teaching

a) Responsibility for providing information for use in timetabling within the set date.

b) Responsibility for planning, coordinating and implementing the teaching

c) Responsibility for necessary preparations in the university’s digital learning management system (LMS)

d) Responsibility for following up students in their practice period and that cooperation with practice places is carried out in accordance with regulations adopted by the faculty.

e) Responsibility for registering and publishing information about the syllabus in the syllabus – tool within the set date.

2. Learning environment

a) Facilitating a good learning environment and, in the case of organising study groups, making sure that all students belong to a group.

b) Contributing to preventive efforts against bullying and harassment in cooperation with the student representatives and ensuring that notes of concern are brought to the attention of the Head of Department or the administration.

3. Examination

a) Responsibility for informing the Examination Office if the course requires digital programmes beyond the standard scheme of the digital examination system.

b) Responsibility for registering which students meet possible examination requirements. Registration must be completed no later than two weeks before the examination.

c) Responsibility for preparing examination questions and assessment guidelines in cooperation with the external or internal examiner and accordance with the provisions in the Examination regulations for the University of Agder, section 37.

d) Responsibility for ensuring, if necessary, that the examination question papers are available in both language variants.

e) Responsibility for installing the examination question paper on the digital platform within one week before the examination.

f) Responsibility for making available examiners’ guidelines:

  • To examiners and the examination office in the digital platform before grading begins.
  • To students in the digital platform when grading is completed.

g) Responsibility for giving students information about allowed examination support materials on the digital LMS well before the examination.

h) At written school examinations:

  • Be available for the whole examination period or make sure that there is a deputy available in the case of absences.
  • If needed, provide additional information during the examination that is necessary for correcting errors in the examination question text.
  • If needed, examine allowed resources before or during the examination or ensure that a deputy carries out the task.

i) At home examinations

  • Be available for questions on the first day of the examination, or, in the case of absence, ensure that a deputy is available.

4. Grading

Responsibility for coordination of grading; responsibility for ensuring that grading is carried out within the set date and that possible delays will be reported to the Head of Department as soon as possible. Instructions for external/internal examiner also apply.

5. Course evaluation

a) Responsibility for carrying out student evaluation of the course in accordance with the quality system at UiA, the set method of evaluation, and as either a mid-term or final evaluation. The students should receive information concerning the date of the course evaluation no later than one week in advance of the evaluation.

b) Responsibility for follow-up of the course evaluation. This includes presenting possible proposals for changes and participation in the lecturer´s meetings.
